Overview To ensure data security and to follow HIPPA guidelines, IUPUI campus has been advised to either wipe hard drives to the Department of Defense Level standard or to remove the hard drives from computers prior to sending the equipment to surplus. This would ensure no data would be sent to the general public either through public auction or donation. This practice has resulted in a large supply of hard drives that are stored around campus without a good means of disposal. Surplus was taxed with offering a solution for this growing issue. After a lot of research, it was determined the most cost effective way to remove the hard drives and to ensure a high level of data security would be to shred the hard drives.
Responsibilities

Campus departments will need to backup any data on the systems that they may need later as Surplus will not be able to return any hard drives once they are picked up.
Departments will fill out the IUPUI Hard Drive Shredding form Please list each serial number of each hard drive you are sending to Surplus as well as provide an account to be charged.
Departments will witness Surplus do a physical count of the hard drives at the drop off/pick up location and signoff on the form that they are both in agreement. As well as receive a total amount that Surplus will bill department for this service.
IU Campuses outside of IUPUI will follow the same procedures as above, but use this form. IU Hard Drive Shredding Form
Provide a drop off location for campus to bring hard drives.
Will pick up hard drives at the IUPUI campus as requested by department.
Provide a secure environment to house the drives until Dell picks them up.
Verify a physical count of drives received with a designate from the department present to confirm agreement.
Surplus would keep a spreadsheet of the name of each box, the serial number and quantity in each, as well as what department the contents came from.
Surplus will bill department the total amount that is designated on the surplus form at time of drop off/pickup.
Surplus will be the main contact and liaison between IUPUI and Dell Asset Recovery Services for this project.
$3.50 per hard drive for drop offs
$4.00 per hard drive if you need surplus to pick them up
